Dashboard guide

How to use your Sampark dashboard

Every menu, what it is for and how to use it. Your dashboard has the same guide under Help.

4 WhatsApp rules to remember

  • Reply within 24 hours

After a customer writes, you can send them any message for 24 hours. After that, WhatsApp only allows a template that Meta has approved.

  • Offers only with permission

Broadcasts go only to customers who agreed to get offers. Anyone can reply STOP to stop them, and START to get them again.

  • Meta charges per message

About ₹0.86 for a marketing template and ₹0.115 for a utility template, plus GST. Each number gets 1,000 free replies a month, and chats that start from a Click-to-WhatsApp ad are free for 7 days.

  • Instagram is stricter

Instagram allows replies only within 24 hours of the customer's last message, and has no templates. Answer DMs quickly.

Getting started

Log in, find the menu and turn on alerts.

How to use it

  1. 1Open app.sampark.bucketstudy.com and log in with the email and password your agency gave you.
  2. 2On a computer the menu is on the left. On a phone, tap ☰ at the top left to open it.
  3. 3Tap the bell next to your name to hear a sound and see a pop-up for every new message.
  4. 4Switch between English and मराठी at the bottom of the menu.

Good to know

  • Forgot your password? Tap “Forgot password?” on the login page, or ask your agency.
  • Staff see Home, Inbox, Leads and Settings. Owners also see Broadcasts, Templates, Chatbot and Reports.

Home

Your day at a glance: who is waiting, whose follow-up is due and how the last offer did.

Open in the dashboard

How to use it

  1. 1Start each day here. The numbers at the top show chats waiting for a reply, new chats today and new leads this week.
  2. 2Under “Needs a reply”, tap a customer to open their chat and answer.
  3. 3Under “Follow-ups due today”, call or message each customer, then mark the follow-up done in their details.

Good to know

  • “Nobody is waiting. 🎉” means every chat has an answer.
  • The page updates by itself, so there is no need to refresh it.

Inbox

Every WhatsApp and Instagram chat in one place. Reply, tag customers and share chats with your team.

Open in the dashboard

How to use it

  1. 1Pick a chat on the left. New messages appear by themselves; search by name, number or tag.
  2. 2Type at the bottom and press “Send”. Shift + Enter starts a new line, and the 📎 button attaches a photo, video, audio or PDF.
  3. 3If the bot is answering, your reply pauses it for that chat. Use “Bot on / Bot off” at the top to switch it yourself.
  4. 4Use “Assign to” to give the chat to a team member, and “Close” when it is finished. It opens again when the customer writes.
  5. 5Open “Customer details” (the ⓘ button on smaller screens) to set the name, tags, lead status, a follow-up date and private notes.

Good to know

  • The chat shows how many hours are left to reply freely. Once the 24 hours are over, use the “Template” tab to send an approved template.
  • Notes are seen only by your team, never by the customer.
  • The green number on Inbox in the menu is how many chats are unread.

Leads

Everyone who messaged you or was added by your team, with their status and follow-ups.

Open in the dashboard

How to use it

  1. 1Every customer has a status: New, Contacted, Qualified, Won or Lost. Change it in their details as the deal moves.
  2. 2Switch between “List” and “Pipeline”. The pipeline shows one column for each status.
  3. 3Use search, tags and “Follow-ups due” to find the right customers quickly.
  4. 4Tap “Add customer” for someone who hasn't messaged you yet: their name, WhatsApp number and tags.

Good to know

  • The yellow number on Leads in the menu is how many follow-ups are due.
  • Turn on “Subscribed to offers” only when the customer really said yes. Without it, broadcasts skip them.
  • Owners can download the whole list with “Export CSV” and open it in Excel.

Broadcasts

Send an approved offer or update to many customers at once.

Open in the dashboard

How to use it

  1. 1First get a template approved under Templates. A broadcast can only use an approved template.
  2. 2In “New broadcast”, give it a name (only your team sees it) and pick the template.
  3. 3Choose who gets it: everyone subscribed, or only customers with certain tags.
  4. 4Send now, or pick a date and time (India time). Check the estimated cost, then press “Send to …” or “Schedule broadcast”.
  5. 5Open a sent broadcast to see who got it, who read it and who replied.

Good to know

  • Only customers who agreed to get offers receive broadcasts.
  • Messages that fail to deliver are not charged.
  • Try a small group first: send to one tag and see how many read it.

Templates

Messages Meta approves in advance. You need them for broadcasts and for chats older than 24 hours.

Open in the dashboard

How to use it

  1. 1Name it with small English letters, numbers and _, for example diwali_offer.
  2. 2Pick the type: “Marketing” for offers, “Utility” for updates like confirmations and reminders, “Login code” for OTPs.
  3. 3Write the message. {{1}} becomes the customer's name. It is the only fill-in, so write dates and prices as plain text.
  4. 4If you like, add up to 3 quick-reply buttons and a photo (JPG or PNG, up to 5 MB).
  5. 5Press “Send for approval”. It shows pending, then approved or rejected, usually within a few minutes to a few hours.

Good to know

  • Don't send an offer as Utility: Meta may reject it or move it to Marketing, which costs more.
  • Your plan sets how many templates you can keep: Starter 4, Growth 8, Pro unlimited.
  • If a status seems stuck, press “Refresh from Meta”.

Chatbot

Answers every new WhatsApp and Instagram chat, day and night, until it hands over to your team.

Open in the dashboard

How to use it

  1. 1Switch the bot on and give it a name. When it is off, every message waits for your team.
  2. 2Build it from steps. Each step has a message and up to 3 buttons, and each button leads to another step or ends the chat.
  3. 3In a message, {name} becomes the customer's name and {last} the button they just tapped.
  4. 4Under “When a customer reaches this step”, add actions: add a tag, set the lead status, log a booking or an order, subscribe them to offers or hand over to your team.
  5. 5Walk through it in the preview (“Test it as a customer”), then press “Save” to switch it on.

Good to know

  • A new chat always starts the bot. “Start words” such as hi or menu bring the menu back later.
  • After two messages it can't understand, the bot hands the chat to your team.
  • Instagram comment replies: when someone comments a word like PRICE on your post, they get your reply as a DM and become a lead. Meta allows one DM per comment, within 7 days.

Reports

How your business is doing on WhatsApp: chats, new leads, what the bot handled, who replied and Meta's charges.

Open in the dashboard

How to use it

  1. 1Pick a period at the top: the last 7 days, 30 days, this month or last month.
  2. 2The cards compare chats, new leads and chats handled by the bot alone with the period before.
  3. 3“Who sent your replies” and “Replies by team member” show how much the bot and each person answered.
  4. 4“Share a monthly report” copies a link that opens without logging in for 90 days, or emails the report.

Good to know

  • “Meta charges (estimate)” shows what Meta will bill for templates and for replies past the free 1,000.
  • Emailing a report needs a billing email in Settings → Billing.

Settings

Your password, your business details, the away message and your team.

Open in the dashboard

How to use it

  1. 1“Your password”: type a new password of at least 8 characters and save it.
  2. 2“Away message” (owners): sent once to a new message when the bot is off and nobody has picked up the chat, for example at night.
  3. 3“Team” (owners): add a login for each person. An owner can do everything; staff only answer chats.
  4. 4“Billing” (owners): the details printed on your invoices, and your invoices so far.

Good to know

  • Your plan sets the team size: Starter 2, Growth 5, Pro unlimited.
  • To change your plan or connect your own WhatsApp number, message your agency.
